Executive Assistant to Managing Director

Our client, offer fire safety services to commercial buildings with a portfolio of clients raging from iconic stadiums to landmark buildings.

They are a dynamic and entrepreneurial company looking for ambitious and talented individuals to join our London based team.

About the role:

You will be  an Executive Assistant to support the MD to drive the next phase of the company’s growth strategy.

The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail.

They will have previous experience working as an executive assistant in a fast-paced environment.

To be successful in this role you should be a team player with a strong personality, be proactive, adaptable, able to meet deadlines and communicate effectively.

Ultimately, you will help the MD make most effective use of his time, support the delegation of responsibilities & accountabilities to the management team in order to ensure the smooth workflow of the business operations.

Key Responsibilities


  • Plan and manage diary, meetings and conference calls
  • Manage email & phone calls; respond promptly to queries
  • Facilitate internal communication
  • Prepare and deliver monthly reports
  • Taking meeting minutes, set up & follow up actions
  • Liaising with management team & MD to ensure deadlines are met
  • SalesForce administration (super user level but can be trained)
  • Assisting MD with daily management & delegation of sales, operational & finance tasks & goals.
  • Suggest more efficient ways to run the office, troubleshoot bottlenecks and breakdowns
  • Support the development of internal processes & systems
  • Review and recommend changes to company policies

Skills & Attributes


  • Proven work experience as an Executive Assistant
  • Strong communication skills (written & verbal)
  • Excellent planning & organisational skills
  • Ability to think proactively and prioritise work
  • Strong attention to detail, ability to multi-task, can work under own initiative and make decisions, with minimal direction & supervision
  • Proficiency in Microsoft Office with aptitude to learn new software and systems (SalesForce experience desired)

    • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
    • Can exercise discretion & keep confidential sensitive company information
    • Ability to perform under pressure and to tight deadlines
