Legal Support Officer

We are looking for 2 Legal Support Officers to join our small, but friendly, Legal and Records team.

You will be working with dedicated people in the Legal and Records team, as well as alongside other colleagues supporting work across the the whole of the Coal Authority.
 
No two days are the same and you will see matters through from start to finish, including Court and property matters, which is really fulfilling.
  

About The Role
This role requires you to:

  • Provide effective and diligent support to the Legal and Records team, managing the day to day office and and team procedures to ensure that all administrative requirements are met
  • Work as one of a team of Legal Support Officers who are responsible for providing a proactive, professional legal support service which includes assisting with the management of our external legal providers.
  • Arrange internal and external meetings, providing agendas, taking minutes and ensuring the smooth running of meetings, including dealing with any technical issues.
  • Make travel and accommodation arrangements.
  • Maintain systems re: the Legal team's external budget, ensuring that all external legal providers' matters are kept within budget.  This will include maintaining the Coal Authority InBye finance system.
  • Effectively manage email inboxes for the Legal team and maintain work schedules.
  • Submit land searches and log applications using the Land Registry portal.
  • Prepare instructions and communicate with external legal providers as and when required.
We need someone who can bring the following skills and experience to the role:
  • Excellent diary management/meeting arrangement skills
  • Excellent time management skills, with the ability to multi-task and prioritise work
  • Strong IT skills (Microsoft Office)
  • Proven experience of working effectively to tight deadlines
  • Proven ability of working with confidential information
  • Excellent attention to detail and focus on work quality
  • The ability to identify and suggest improvements to processes and ways of working
  • Excellent written and verbal communication skills
  • The ability to work independently and collaboratively
  • Proven knowledge and experience of working with budgets, invoices and procurement is beneficial
  • A resourceful and motivated attitude to work
  • An awareness and understanding of the legal profession
